Build a bid-comparison tool before you choose a vendor.
Let AI read the quotes. You decide what matters, change the priorities and watch the ranking move.

Google added interactive tables and models to the Gemini app this week, using cash-burn rates as one example. At work, that means you can change a number and see what happens.
Try it on vendor quotes. One gives a monthly price. Another quotes a full year. A third looks cheapest until you find the setup fee on page six. Delivery dates and cancellation rules may be scattered throughout each document.
Build an adjustable scorecard
Give an AI work tool approved access to the email thread or Drive folder containing the quotes. Include your purchasing rules and job requirements. The tool should retrieve the files itself and build a private comparison page.
The page should show each vendor’s first-year cost, later costs, delivery date, contract length, warranty, service terms, cancellation fees and missing information. Every figure should link to the quote and page where it appeared. If a quote never mentions something, the tool should say “Not stated.”
Add simple controls for price, delivery speed, service and contract flexibility. Raise the importance of price and the ranking may change. Raise service and a more expensive vendor may move ahead. Keep deal-breaking requirements separate. A vendor that misses a required license, insurance level or delivery deadline should fail that check regardless of its score.
Make the tool prove itself
Check three totals with a calculator. Move the price setting from low to high and confirm that the ranking changes correctly. Choose another priority and check again. A coworker should be able to see why a vendor ranks first and where every number came from.
If the math is wrong, a source is missing or the ranking cannot be explained, the prototype has failed its test. Fix those problems before using it on a live purchase.
